Job Description / Statement of Duties

Reporting to the Director of Annual Giving, and working closely with the entire Institutional Advancement team, the Staff Assistant/Annual Giving Coordinator will have four principal responsibilities:

1. Administer the college’s Phonathon program in the fall and the spring for restricted and unrestricted gifts under $1,000.

2. Oversee student philanthropy efforts through the MassArt Philanthropy Program, with the goal of building a culture of philanthropy amongst students and GOLD (Graduates of the Last Decade) alumni.

3. Assist with the execution of e-mail, direct mail and other Annual Giving appeals, like Day of Giving.

4. Assist with the day-to-day operations of the Annual Fund, including updating donor records, fielding donor questions via phone and email, and working closely with the Advancement Services Associate and Director of Advancement Services to ensure the gift process runs smoothly.

The Staff Assistant/Annual Giving Coordinator will maintain a thorough knowledge of the missions and objectives of both the College and the MassArt Foundation to help shape and attain annual fundraising goals. They will participate in the strategic development of broad-based giving with the Director of Annual Giving, exploring how to synergize direct mail, e-mail, and Phonathon, and growing year-over-year results in overall dollars raised. The Staff Assistant will also work collaboratively with colleagues to improve the alumni participation rate and identification of new prospects. They will also assist with Annual Fund, Alumni Relations, student philanthropy and general fundraising events as needed.

Organizations or others outside the college with whom this position occasionally works are the Trustees of the college; MassArt Foundation Directors; parents, alumni, and other volunteers; donors; vendors; consultants.

Successful candidates will be detail-oriented, well organized, eager to work collaboratively, flexible, and excited about building a comprehensive, coordinated annual giving program. They should have a deep appreciation for the arts, a belief in the College’s public mission, and a desire to play a meaningful role in the MassArt community and to share in the community’s enthusiastic commitment to MassArt.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Solicitation, Direct Mail, and Phonathon Activities (75%):

1. Manage the Phonathon program and occasional restricted phonathon campaigns through data segmentation, administrative duties as well as the hiring, training, and supervision of student callers.

2. Assist with the coordinating components of e-mail and direct mail annual giving appeals under the direction of the Director of Annual Giving, including preparing donor data for appeals.

Student Philanthropy (15%):

1. Oversee the execution and growth of our student philanthropy program MAPP (MassArt Philanthropy Program) through events, on campus student outreach and volunteer recruitment/retention.

Data Management (10%):

1. Work with Institutional Advancement (IA) staff to ensure proper upkeep and maintenance of donor and alumni data in The Raiser’s Edge.

2. Occasional reporting and query pulling through Raiser’s Edge.

3. May be called upon during periods of high gift volume to assist with gift processing for Annual Fund donations.

Required Minimum Qualifications

1. Bachelor’s Degree
2. Experience in a development office and first-hand knowledge of annual giving programs and/or phonathon programs
3. Strong verbal, written, telephone, communication, and customer service skills
4. Computer literacy and ability to learn our donor database systems and software
5. Ability to relate to and work well with MassArt’s student body
6. Ability to handle sensitive and confidential information appropriately and with discretion
7. Ability to work regular evening hours during student phonathon and periodic weekend work for IA events
8. Literacy in Microsoft Office, specifically Excel and the mail merge function in Word

Other Considerations

1. Previous experience with recruitment, training, management, and recognition of student workers, or management of volunteers
2. Experience as a Phonathon caller/fundraiser/manager
3. Knowledge of Raiser’s Edge 7 database
4. Strong analytical skills and ability to sort and prioritize data segments
5. Ability to effectively work in a high-energy, fast-paced work environment
6. Entrepreneurial spirit, sense of humor, and creative problem solving abilities
7. High level of energy, enthusiasm, and excitement for educational fundraising and/or fundraising in the arts
8. Knowledge of Adobe Creative Suite
